Getting the number right — and buying the right quantity of stools and tables — is one of the most important decisions when setting up or expanding a commercial space in India.
Here's a practical guide to calculating seating capacity for restaurants, cafés, banquet halls, canteens, and other commercial spaces.
The Basic Formula
The starting point for any seating calculation is your usable floor area — the total floor space minus kitchen, storage, restrooms, reception, and circulation paths.
Seating capacity = Usable floor area ÷ Space per seat
The space per seat varies by venue type and format. Here are the standard benchmarks used across India's F&B and hospitality industry:

Worked Examples
Example 1: QSR in a Mall Food Court
Total area: 120 sq. metres. Kitchen and service area: 40 sq. metres. Usable seating area: 80 sq. metres.
At 1.2 sq. metres per seat: 80 ÷ 1.2 = 66 seats
You'd need approximately 17 tables (4 seats each) or 22 tables (3 seats each) — plus 66–70 stools.
Example 2: Banquet Hall
Total area: 500 sq. metres. Stage, service area, and circulation: 150 sq. metres. Usable seating area: 350 sq. metres.
At 1.5 sq. metres per seat (round tables): 350 ÷ 1.5 = 233 seats
At 10 seats per round table: approximately 23–24 round tables — plus 230–240 chairs or stools.
Example 3: Bar Counter Seating
Bar counter length: 8 metres. At 0.65 metres per stool: 8 ÷ 0.65 = 12 bar stools
How Many Tables Do You Need?
Once you have your total seat count, divide by the number of seats per table:
- 2-seater tables: Total seats ÷ 2
- 4-seater tables: Total seats ÷ 4
- 6-seater rectangular tables: Total seats ÷ 6
- 8-seater round tables: Total seats ÷ 8
- 10-seater round tables: Total seats ÷ 10
Always round up and add 10–15% buffer for replacement, breakage, and flexibility.
Key Factors That Affect Your Calculation
- Table shape: Round tables use more floor space per seat than rectangular tables but create a better flow for formal dining
- Aisle width: Minimum 90 cm for single-person aisles; 120–150 cm for service aisles where staff carry trays
- Fire safety regulations: Local municipal and fire safety codes may specify maximum occupancy limits — always check with your local authority
- FSSAI requirements: Food service establishments must maintain adequate space for hygiene and safety compliance
- Turnover rate: High-turnover venues (QSRs, canteens) can seat more people per square metre because tables are occupied for shorter periods
How Many Stools or Chairs Do You Need to Buy?
A practical rule for bulk buying:
- Buy seat count + 10% as your base order (covers breakage and replacement)
- For folding tables in banquet halls, buy table count + 5–10% for flexibility
- For bar stools, buy bar stool count + 2–3 extra per bar counter for rotation
